This Privacy Policy covers the hosted software services offered by Deus Ex Machina L.L.C. through de-machina.com, including the Reseller Support Portal (RSP). Our on-premise product ClearRecord has its own policy at clearrecord.co/privacy.

1. Information We Collect

Account and billing information (collected by Paddle on our behalf):

Name and email address
Payment information (stored and processed by Paddle; we never see your full card details)
Company name and address for invoicing

Operational data that you and your team enter into or sync into the service. For RSP, this includes support cases, customer and vendor correspondence, assignments, and related records. This data is stored on the single-tenant infrastructure we operate for your organization.

2. How We Use It

To provide, operate, and maintain the service
To process subscriptions and billing through Paddle
To send transactional email (purchase confirmations, service notices)
To provide customer support when you contact us

We do not sell your data. We do not use your data for advertising.

3. Third-Party Services

Paddle (paddle.com): payment processing and subscription management. Paddle is the Merchant of Record for all purchases.
Hosting and email providers used to operate the service and deliver transactional email.

4. Data Retention and Deletion

We retain your operational data for the duration of your subscription. On request after your subscription ends, we will delete your operational data. We retain billing and account records as required for tax and accounting purposes. To request deletion, contact George@De-Machina.com.

5. Security

Service communications use HTTPS/TLS. Each customer's data is isolated in a single-tenant deployment. We store only the data required to operate the service.

6. GDPR / International Users

If you are located in the European Economic Area, you have rights to access, correct, or delete your personal data. To exercise these rights, contact George@De-Machina.com. Our lawful basis for processing is performance of our contract to deliver the service.
